3. Purposes and legal bases for processing

Conducting training courses, seminars and webinars

We process your personal data for the planning, organisation, delivery and follow-up of face-to-face training courses, seminars and webinars. This includes, in particular, processing your registration, managing participants, communicating in connection with the event, running the event, documenting attendance, issuing certificates of attendance, and ensuring the technical provision and security of the event and webinar platforms used.

Processing is carried out on the basis of Article 6(1)(b) of the GDPR, insofar as the processing is necessary for the conduct of the event you have booked or enquired about.

Furthermore, processing is carried out on the basis of Article 6(1)(f) of the GDPR. Our legitimate interest lies in the efficient planning, organisation, conduct and follow-up of our events.

 

Photographs, video recordings and webinar recordings

Photographs, video recordings and webinar recordings may be made and processed during events. These recordings serve to document our events, to provide and reuse training content, and for public relations, corporate communications and advertising.

In general, these consist of overview shots, group shots and situational shots. We do not intend to specifically take or publish individual shots of participants.

In this respect, processing is carried out on the basis of Article 6(1)(f) of the GDPR. Our legitimate interest lies in documenting our events and in presenting and promoting our services and activities.

Should, in exceptional cases, individual photographs of participants be taken or used for publication purposes in a way that highlights the data subject, this shall be done exclusively on the basis of consent obtained in advance in accordance with Article 6(1)(a) of the GDPR. Consent that has been given may be withdrawn at any time with effect for the future. The lawfulness of the processing carried out on the basis of consent up to the point of withdrawal remains unaffected by this.

You have the right, on grounds relating to your particular situation, to object at any time to the processing of your personal data on the basis of Article 6(1)(f) of the GDPR, in accordance with Article 21 of the GDPR.

Information about similar events and offers

We process your contact details to inform you about similar seminars, training courses, events, products and services, insofar as this is permitted within the framework of existing business relationships.

The processing is carried out on the basis of Article 6(1)(f) of the GDPR. Our legitimate interest lies in maintaining existing customer relationships and informing our customers about offers in related fields.

Objection to direct marketing

You may object at any time, with future effect, to the processing of your personal data for the purposes of direct marketing. If you object, your data will no longer be processed for these purposes.

The objection may be submitted in any form to the contact details specified in section 1.

 

4. Categories of data processed

Depending on the nature and scope of your participation, we process the following personal data in particular:

- Master data (e.g. name, company/organisation, role/position),

- Contact details (e.g. email address, telephone number),

- Registration details and event-related information,

- Participation information (e.g. time of participation, attendance),

- Data required to issue certificates of attendance,

- technical connection and usage data when participating in webinars,

- content of chat posts, questions, surveys or other interactions during webinars,

- image and video data that may be generated in the course of event recordings or photographic and film recordings,

- communication data relating to the organisation of the event, as well as information about similar events, training courses, products and services.

There is generally no obligation to activate your camera or microphone during webinars.

 

5. Recipients of the data

Your data will be made available within our organisation exclusively to those departments that require it for the purpose of running the webinar.

Where the seminar/webinar is organised jointly with partner organisations, these organisations will receive the participant data necessary for running the seminar/webinar and issuing certificates of attendance. In this context, the partner organisations act as independent data controllers or – provided the legal requirements are met – jointly with us as data controllers within the meaning of Article 26 of the GDPR.

Use of GoToWebinar

We use the GoToWebinar platform provided by GoTo Technologies USA, LLC, 320 Summer Street, Boston, MA 02210, USA, for registering participants for our training courses and conducting our webinars.

GoTo processes your personal data on our behalf. To this end, we have entered into a data processing agreement with GoTo in accordance with Article 28 of the GDPR. Where personal data is transferred to the USA in connection with the use of GoToWebinar, this is done on the basis of the European Commission’s adequacy decision regarding the EU-US Data Privacy Framework (DPF). GoTo is certified under the EU-US Data Privacy Framework.

6. Transfer to third countries

Where services from providers based outside the European Union or the European Economic Area are used to organise the seminar/webinar, data will only be transferred in accordance with the requirements of Articles 44 et seq. of the GDPR.

 

7. Duration of storage

Your personal data will, as a general rule, only be stored for as long as is necessary for the conduct and follow-up of the webinar. Where statutory retention periods apply or the data is required to assert, exercise or defend legal claims, it will be stored for a correspondingly longer period.

 

8. Recordings

The webinar will only be recorded if this has been announced in advance and there is a corresponding legal basis.

Where your image, audio or other personal data may be affected by a recording, you will be informed of this separately in advance. See also 3. Purposes and legal bases of processing.

 

9. Your rights

You have the right to

- request information about the data stored relating to you (Art. 15 GDPR),

- to request the rectification of inaccurate data (Article 16 of the GDPR),

- to request the erasure of your data (Article 17 of the GDPR),

- to request the restriction of processing (Article 18 of the GDPR),

- to request data portability (Article 20 of the GDPR),

- to object to the processing (Art. 21 GDPR),

- to withdraw any consent given at any time with effect for the future (Art. 7(3) GDPR).

 

10. Right to lodge a complaint

11. Provision of data

The provision of the data required for registration and the running of the webinar is necessary to enable you to take part in the webinar. Without this data, it may not be possible for you to take part.
